How to Read Blueprints for Estimating: Scale, Legend, Tags and the Sheets That Matter

A permit set is written in a language with about forty words, and an estimator needs perhaps twenty of them. This is the twenty: where the scale is, how a dimension string reads, what the legend abbreviations mean, which sheet each quantity lives on, and the one typing mistake that quietly rescales an entire drawing.

Start with the sheet index

The cover sheet, or the first sheet of the set, lists every sheet by number. Residential sets use letter prefixes by discipline, and the letters tell you where to look:

A kitchen or basement set is often just A-sheets with an E-sheet. An addition or an ADU will have all four. If a sheet the index lists is missing from what you were sent, ask for it before you price; the beam schedule you never saw is the one that changes the number.

The title block

Bottom-right of every sheet, or down the right edge: project name and address, sheet title and number, the drawing date and revision, the designer's name, and the scale. Two things to check every time:

Imperial residential scales, for reference: 1/8" = 1'-0" is 1:96, 3/16" is 1:64, 1/4" is 1:48, 3/8" is 1:32, 1/2" is 1:24, 1" is 1:12. Metric sets use 1:50 for plans and 1:100 for the site.

Dimension strings

Dimensions sit on lines outside the plan, between tick marks or arrows, in feet and inches: 9'-10" is nine feet ten inches, 12'-0" is twelve feet even. A string of dimensions along one wall adds up to the overall dimension at the end of the line, and that sum is your check that you have read every segment.

Three conventions that catch people:

The decimal-feet mistake

Every takeoff tool asks you to type one known dimension to set the scale. Type 9'-10" as 9.10 and the tool reads nine point one feet — nine feet one inch — a nine-inch error on the reference line. Every measurement on the sheet is then out by the same proportion, which on a 40-foot wall is more than two feet. Enter feet and inches as separate numbers, or convert properly: 9'-10" is 9.83 feet. Pick the longest dimension you can trust for the scale; a mistake over a 2-foot door is four times worse than the same mistake over an 8-foot one.

The legend and its abbreviations

The legend, usually on the first architectural sheet, defines the symbols and the abbreviations used across the set. The ones an estimator reads constantly:

Wall types are the other half of the legend: a numbered or lettered wall symbol that maps to a section showing the stud size, the insulation and the board on each face. That is where one side or both for drywall and insulation is answered, before you trace anything.

Which sheet gives which quantity

Reading a residential set in order

  1. Cover and index. Confirm the set is complete and marked for permit.
  2. Demolition plan, if there is one. What comes out sets the disposal line and tells you which walls stay.
  3. Floor plans. Walk every room. Note the wall types, the door and window marks, anything marked VIF or NIC.
  4. Sections and elevations. Heights, bulkheads, tile extents, exterior finishes.
  5. Schedules. Windows, doors, finishes, fixtures. These are the quantities the client will hold you to.
  6. Electrical. Count the tags. Compare the count to the template's placeholder and replace it.
  7. Structural. Anything a beam or footing touches is a line you cannot leave out.
  8. Site visit. Everything marked VIF, and the things no drawing shows — access, stairs, where the bin goes.

On a PDF, what reads itself

A PDF that came out of drawing software carries its scale and its device tags as text; a scan or a phone photo carries pixels. On a scan, everything above still applies — you set the scale from a dimension you know and measure the rest — but the automatic parts do not. Either way the quantities land on the estimate as lines with the quantity filled in and the price left to you. Questions contractors ask

Where is the scale on a drawing?

In the title block, usually bottom-right, and often again under each plan view, written as a ratio like 1/4" = 1'-0" (1:48) or 1:50 in metric. A set rarely uses one scale throughout: floor plans at 1/4 inch, details at 1/2 or 1 inch, the site plan at 1 inch to 20 feet. Check every sheet, and where a view says NTS — not to scale — measure nothing on it.

What do AFF, TYP, O.C., VIF and NIC mean?

AFF is above finished floor, the height a fixture or outlet is mounted. TYP means typical: the note applies everywhere the condition repeats. O.C. is on centre, the spacing of studs or joists. VIF is verify in field — the dimension was not confirmed when drawn. NIC is not in contract: shown for context, not in your scope.

How do I read a dimension string?

Dimensions run between tick marks along a line outside the plan. 9'-10" is nine feet ten inches; a string of dimensions adds up to the overall at the end of the line, which is the check. Type feet and inches as separate numbers in a takeoff tool — 9'-10" entered as 9.10 is 9.1 feet, a nine-inch error that rescales the whole sheet if it was the reference line.

Which sheet do I take each quantity from?

Floor plans for room areas, wall runs and door counts; the reflected ceiling or electrical plan for pot lights, outlets and switches; elevations and sections for wall heights and ceiling heights; the schedules for window and door sizes; the site plan for anything outside the walls; structural sheets for beams, posts and footings.

Can a photo or a scan be read the same way?

For measuring, yes: calibrate against a dimension you know and the sheet measures. What a scan cannot do is the automatic parts — the scale in the title block and the device tags are text on a PDF from drawing software and pixels on a scan.

What does the takeoff read automatically?
