How to Do a Material Takeoff From Plans: Areas, Wall Runs and Counts
A takeoff is where an estimate stops being an opinion. The drawing says how big the rooms are, how long the walls run and how many pot lights there are; your job is to read those numbers off correctly and turn them into sheets, bundles and boxes. Here is how to do it with a scale ruler and a spreadsheet, how the same steps work on screen, and the six mistakes that quietly add or lose a room's worth of material.
What a takeoff is, and what it is not
A material takeoff is the list of quantities a job needs, measured off the drawings: square feet of flooring, drywall and paint; linear feet of baseboard, trim and framing; counts of doors, fixtures, receptacles and lights. It is the step between the drawing and the priced estimate, and it is deliberately not the pricing step. Measure first, price second, and keep the two separate — when a job comes in over, you want to know whether the quantity or the unit price was wrong.
Three kinds of measurement cover almost everything on a residential set: areas, lengths and counts. A fourth, wall area, is a length with a height on it, and it is where most drywall and paint takeoffs go wrong.

Get the right sheets, and note the revision
For a renovation you usually need the floor plan (one per level), the reflected ceiling plan if there is one (lights, fans, bulkheads), elevations and sections for wall heights and tile extents, and the sheets that carry the door, window and finish schedules and the legend. Write the revision date on your takeoff. When the client sends "a small change" three weeks later, you will want to know which drawing your numbers came from.

Find the scale, then verify it
The scale is in the title block or under the view: 1/4" = 1'-0" on most residential plans, 3/16" or 1/8" on larger sheets, 1:50 or 1:100 on metric sets. Now check it against a printed dimension. Put your ruler on a dimensioned wall — the longer the better, because a mistake over a 2 ft door is four times worse than the same mistake over an 8 ft one — and confirm the length. A set that was plotted to a smaller sheet, printed "fit to page", or photographed still carries its original scale note, and it is wrong. Calibrating against a known dimension catches that; reading the title block does not.
Each sheet is scaled on its own. Sets mix scales constantly: the plan at 1/4", a bathroom enlargement at 1/2", a section at 3/8".

Measure areas to the right face
Trace each room for flooring to the finished wall faces, closet included — that is the floor you will actually cover, and it is usually a little more than the room area printed on the plan, which normally excludes the closet. In a finished basement the drawing may show a new stud wall framed a few inches inboard of the foundation; tracing the concrete adds close to a foot of width you will never lay flooring on. Tile is traced to its own boundary (the shower, the backsplash), not the room. Ceilings are the room area, less nothing.
Write the area and the edges you used. "Bedroom 1: 11'-1" × 10'-4" to finished faces, plus closet 3'-0" × 3'-0" = 123.6 sq ft" is a takeoff. "Bedroom 1: 120" is a guess with a decimal point.

Measure lengths, and turn walls into wall area
Trace each wall once, down its centre or one face — never one line down each face, which double-counts the run and gets the corners wrong. A plain run prices baseboard, top plate, pipe and wire in linear feet.
Drywall, insulation and paint are bought by the square foot of wall, so the run gets a height and a number of faces: run × height × sides. An interior partition is boarded and painted both sides; an exterior or foundation wall is finished on the inside only; insulation fills the cavity once, whatever the wall. Keep partitions and exterior walls as separate lines — they differ on this setting and on what is fixed to them.
Do not deduct doors and windows from drywall; you board over and cut out. Deduct them from tile always, and from paint if you care about the last gallon.

Count devices from the tags
Every receptacle, switch, light, smoke alarm and fixture on a drawing is a symbol, usually with a tag — R, S, SA, CMD, D30 — that the legend defines. Read the legend first so you know what you are counting, then count every instance on the plan and tick them off as you go. Skip the legend and the title block; a legend entry counted as a device is the classic off-by-one. Count doors and windows from the schedule, then check them against the plan, because schedules and plans disagree more often than you would think.
On screen. On a PDF that came out of drawing software the tags are text, and Estiquik's Find tags lists every one, what it means according to the legend, and how many there are — "R · duplex receptacle · 14 on the drawing · 1 in the legend, skipped" — and drops the markers in a click. On a scan or a photo there is no text layer, so those are still counted by clicking. -
Convert to what you can buy
A measured quantity is not an order. Add waste — about 10% on plank, sheet goods and tile laid straight, 15% on diagonals and patterns, less on trim you can cut around — then round up to the pack: 32 sq ft for a 4×8 sheet, 48 for a 4×12, whatever the bundle, box or carton says it covers. 1,624 sq ft of board at 10% waste is 1,792 sq ft, which is 56 sheets. 812 sq ft of R20 batt at 5% is 930 sq ft, which is 12 bundles at 77.5 sq ft. Price the sheets and the bundles; the square feet are how you got there.

Record every quantity against the estimate line it prices
A takeoff that lives in a notebook is a takeoff you redo. Each quantity should sit beside the line it prices, with the sheet and revision it came from, so a revised drawing can be re-measured room by room instead of from scratch — and so job costing can later compare the 56 sheets you estimated with the 61 you bought.
A worked example, one sheet of a basement
Fictional numbers from a two-sheet basement plan at 1/4" = 1'-0", verified against a 34'-0" overall dimension.

Notice the partition is traced once and its run used three times — baseboard both sides, drywall both sides — while the foundation wall's run is used twice at one side each. That is the whole trick with wall runs: one trace, several trades.
The six mistakes that cost a room
1. Trusting the printed scale on a re-plotted set
The architect drew it at 1/4"; the client printed it on letter paper. The scale note is still there and now every quantity is 30% low. Verify against a dimension, every sheet.
2. Tracing the foundation instead of the finished face
In a basement with a strapping wall this adds close to a foot of width per side — flooring for space that ends up inside the wall.
3. Tracing both faces of a partition
Doubles the run and gets the corners wrong. Trace once; let the sides setting do the doubling where the trade actually covers both faces.
4. Counting the legend
Every tag appears once more in the legend than it does on the plan. Skip the legend and the title block, or your count is one high per device type.
5. Pricing square feet instead of packs
69 sq ft of board rounded to a multiple of 32 is 96 sq ft; the merchant sells three sheets. Convert to packs before you price, and let waste apply before the rounding, not after.
6. Decimal feet
9'-10" typed as 9.10 is 9.1 ft, a nine-inch error on the reference line — which rescales the whole sheet by about 8%. Type feet and inches as feet and inches.
Scale ruler or software?
For a one-page plan of a bathroom, a scale ruler, a highlighter and a spreadsheet are fast and there is nothing wrong with them. Software earns its keep in three situations: the set is more than a few sheets; the client revises the drawing and you want to re-measure one room, not the job; and you want the quantities to land on the estimate as lines with the units filled in, instead of being retyped from a notebook. Do I need takeoff software?

Why doesn't my area match the square footage printed on the plan?

Should I deduct doors and windows from drywall?
No. Board over and cut out. Deduct them from tile always, from paint if you want to be precise.
How much waste should I add?
About 10% on plank, sheet goods and straight-laid tile, 15% on diagonals and patterns, then whatever rounds the order up to whole packs.
